Adding a team member

Managing mastitis is easier with the right people on your team. Here's how to add someone in under a minute.

1. Open the menu and tap Team

From your home screen, tap the menu icon, then scroll to Network and select Team.

2. Tap Add Member and fill in their details

Enter their first and last name, email, and phone if you have it. Add a designation like Milker or Farm Manager, and choose their Farm Role — Member or Admin.

💡 Admins can manage farm settings and members. Members can view and work on the farm.

3. Send the invite

Tap Send invite. They'll get an email to set up their account.

📧 Remind invited users to check in their spam or junk email folder if the invite is not received in their inbox.

4. They're now part of your team

Your new team member appears right here under Team, ready to go once they've accepted their invite.

Install on iPhone

On iPhone, it takes 3 taps in Safari. Once it's done, Farm Medix opens like any other app, no browser needed.

1. Open https://my.farmmedix.com in Safari

Tap the Share icon at the bottom of the screen (the square with an arrow pointing up).

2. Scroll down and tap "Add to Home Screen"

It's in the list of Share options, usually a few rows down.

3. Done!

Farm Medix now sits on your home screen, one tap away.

Install on Android

On Android, it takes 3 taps in Chrome. Once it's done, Farm Medix opens like any other app, no browser needed.

1. Open https://my.farmmedix.com in Chrome

Tap the three dots in the top right corner of the screen. Scroll down and look for "Install and create shortcut"

2. Tap "Install"

Click Install to create home screen shortcut.

3. Done!

Step 1 ¡ Starting a new mastitis case

Starting a new mastitis case

From spotting a problem to incubating your first sample — here's exactly how to log a case, quarter by quarter.

1. Open Mastitis Cases and tap Start

From the bottom menu, tap Mastitis Cases. Tap the blue Start tile to begin a New Mastitis Case.

2. Enter the animal's ear tag

Type the ear tag number into Animal ID. The default test method is Fresh Cow Dry Cow™, our on-farm mastitis test.

💡Already have this cow on file? Her details will appear automatically as you type — no need to re-enter anything.

3. New animal? Choose how to record her

If the ear tag isn't recognised, you'll be asked to either add her to your animals (creates a permanent record) or run a test only, without saving her to your herd.

4. Select the affected quarter

Tap the quarter showing signs of mastitis — LF, RF, LB, RB, or All if you're sampling more than one. You can select more than one quarter if needed.

5. Choose Clinical or Subclinical

Select Clinical Mastitis and pick a grade (mild, moderate, severe), or select Subclinical and pick the source that flagged it (in-shed alert, RMT screen, herd test, and so on).

🩺 Clinical case? The system will prompt you to remove the animal from supply automatically. If no treatment with milk withholding is required you can unselect “Remove from supply”

6. Check the incubation start time, then start

The incubation time defaults to the current date and time. If you incubated the sample earlier, adjust the date and time so your incubation period stays accurate — then tap Start Incubation.

✅ You'll see a quick confirmation message, and the screen stays open — so if you've got more samples from this visit, just carry straight on.

7. Close out when you're done

Finished for now? Tap the X to close the form or register another case. Your case now appears under Incubation / Capture, ready for the next step.

Step 2 ¡ Plate image capture

Once a sample's incubating, here's how to check on it, capture the plate photo, and send it off for review.

1. Find your sample under Mastitis Cases

Every sample you've started shows up here with its current status. Incubating samples will be in the Incubation / Capture tile.

2. Tap the case once it's ready to read

When incubation time is up, tap the case tile to open it and photograph the culture.

📷 Take a clear, well-lit photo, on a light background. If growth is hard to see, you can add extra images and use the Note field for anything worth flagging, like "hard quarter."

3. No growth yet? Extend incubation

If the plate has no visible growth, still upload an image and then tap Extend Incubation and place it back in the incubator for another 24 hours.

4. Send it for review

Ready to move forward? Tap Send to Lab to have it reviewed by our microbiologists. You'll see a quick confirmation, and the case now sits under Lab Review — awaiting interpretation.

5. Self interpretation

If you are confident reading the culture plates you can self interpret and record a result. The case will now move to Results available where you can view and add corrective actions.

🦠 Some critical pathogens will still require lab confirmation.

Step 3 ¡ Results & recording treatment

Results & recording treatment

Once your result is back, here's how to review it and record what happens next — whether you're following your vet's protocol or deciding on your own.

1. Find your result

Results land under Results available in Mastitis Cases, and under Act Now in your Actions tab. Tap the case to see the result and the plate photo you submitted.

2. Tap Record Action

This opens your recommended plan. If you're connected to your vet, it's already filled in from your signed protocol — pathogen, case type, and everything below it.

3. Review and adjust the treatment

Medicine, dose, and number of doses will be pre-filled from your Vet's protocol if it is available, otherwise select an appropriate treatment(s) from the lists — all selections can be altered if necessary. Tick or untick any treatment, and add extras like segregation if needed.

4. Choose any other actions, and confirm milking frequency

Options like dry-off affected quarter(s), add to cull list, or no action sit below your treatments. Confirm the milking frequency for this animal — it sets the correct label schedule and withholding period.

⏱ Milking frequency defaults to what's set under My Farm — only change it here if this animal is different.

5. Set when the action starts

Choose Next milking or Last milking for when treatment begins, and add any notes worth recording.

6. Not sure? Ask your vet

Tap Ask Vet right from this screen to send your question straight to your vet's chat — no need to leave the app.

7. Confirm the corrective action

Tap Use corrective action(s) or treatment(s), then confirm. If anything you've entered deviates from your vet's protocol, you'll see a quick heads-up before it's recorded.

8. Your case moves to Actions

You'll see a quick confirmation, and the case now sits under Active Care in Actions, and ready to track through treatment and withholding.

Step 4 ¡ Treatment actions

Once treatment's underway, here's how to record each dose, track withholding, and see a case through to completion.

1. Find your case under Actions

Your Actions tab tracks every case by stage: Act Now, Active Care, and Completed. A case in treatment or withhold sits under Active Care.

2. Your treatment schedule is shown on the tile

Open the case and you'll see every medicine, dose count, and frequency you recorded — ready to tick off as treatment happens.

3. Tap a medicine dose to record it

Select Now if you're giving it at this moment, or A different time to log a dose you gave earlier. The time you enter is what sets the withholding period so ensure you record it accurately.

4. Doses are recorded and show who gave them, and when

Each confirmed dose turns green, with the date, time, and your name attached — a clear record for anyone checking the case later.

5. The platform tracks withholding for you

Once a medicine's course is complete, you'll see its withhold period calculated automatically from the label — no need to work it out yourself.

⚠️ Treatment not working? Tap Escalate case to move to the next protocol, and record its doses in the same way.

6. From Active Care to Completed

Your case stays under Active Care while treatment or withhold is ongoing. Once withhold clears, it moves automatically to Completed.
